Norwich Open Christmas depends on hundreds of volunteers to make the magic happen, and we need a detail-driven, people-focused Volunteer Co-ordinator to help manage it all. This is a busy, reactive role that sits at the heart of our operations, ensuring every task area is fully staffed and every volunteer feels supported.
When you'll be needed
This is a year-round role, with planning beginning in February and ramping up from October to December, when volunteer activity reaches its peak. You’ll also help wrap things up in January with thank-you messages and final reports.
What you'll be doing
You’ll guide new volunteers through the Better Impact system, helping them create profiles and select tasks. For returning volunteers, you’ll ensure their existing profiles are used to avoid duplication. You’ll also support those who need help navigating the system.
Throughout the season, you’ll coordinate communications with the Social Media lead and other committee members to ensure messaging is consistent and timely.
On the day itself, your behind-the-scenes work ensures every volunteer knows where to be and what to do. And in January, you’ll send out thank-you messages to celebrate everyone’s contribution.

- Managing volunteer profiles and assignments using the Better Impact system
- Coordinating with team leads to define roles and staffing needs for food prep, set-up, Christmas Day, and clear-up
- Responding to volunteer queries via the [email protected] inbox
- Assisting new volunteers with profile creation and task selection
- Updating the E-Receptionist system to reflect current volunteer opportunities
- Sending coordinated communications using pre-prepared email templates
- Attending Zoom sessions and the New Volunteers Meeting to support onboarding
- Running reports to support planning and registration
- Liaising with the Social Media lead to ensure messaging is consistent across platforms
